Description
- Provides high level administrative support for the Executive leadership of Slocum Orthopedics, including C-level positions and physician shareholders.
- Provides administrative support for 14 Slocum Committee meetings including Shareholder Meetings, Executive Committee, BOC, and Peer Review.
- Coordinates meetings in NextGen and Outlook
- Arranges for necessary room and technology resources
- Takes and distributes minutes
- Schedules and coordinates additional internal and external meetings and events as directed by leadership or physicians
- Responsible for the Physician/PA and IT call calendar, including uploading information into AmIon, notifying hospitals/scheduling, and coordinating days off/call transfer requests.
- Coordinates catering for all necessary meetings and events.
- Coordinates with physicians and outside vendors for management of the physician’s Autzen tickets.
- Provides data entry support to Finance.
- Coordinates MD interviews including travel and schedules
- Maintains physician calendars for non-clinical appointments and marketing requests.
- Prepares PowerPoint presentations and handouts for meetings, and facilitating day-of presentation needs.
- Monitoring True North goals, including following up with management for missing data, updating visual and online boards.
- Monitors and follows up progress of tasks for the organization’s project trackers
- Schedules and provides admin support for All Staff meetings and employee trainings
- Provides administrative, planning, and day-of support for employee events including marketing and recruitment events, and maintains a schedule for on-site food trucks.
- Serves as Notary Public for the organization
- Responsible for contract and policy management, including maintaining a database of current organizational contracts and policies
- Sends birthday/anniversary/life event cards to staff.
- Provides general administrative support for the physicians and leadership team.
- Responsible for daily mail distribution to the Admin suite and maintaining supplies
- Arranges travel and conference registrations for physicians and leadership.
- Maintenance and organization of Slocum records
- Other duties as assigned.
Requirements
Education and Experience:
- Graduation from a 2 year college or six months related experience and training, or equivalent combination of education and experience.
- At least two year’s prior experience as an Administrative Assistant or Executive Assistant providing executive level support in a medium to large organization.
- Must be able to confidently interact with and direct physicians and leadership.
- Ability to manage stressful and confidential situations.
- Must have exceptional organizational, self-management, and communication skills.
- Must have a good understanding of contract terminology.
- Proficiency with Teams, Word, Excel, PowerPoint, Outlook, and other Microsoft products.
