We are seeking an enthusiastic Scheduling Supervisor to join our amazing team.  Our organization is a busy, fast paced and team-oriented orthopedic office.  The ideal candidate must be a dependable team leader, motivated, collaborative, and a positive professional.

Duties include:

  • Providing leadership and supervision to the scheduling department.
  • Covering and filling in any scheduling position when needed – Working supervisor
  • Produces and provides reports on departments’ performance. Analyzes data for process improvement. 
  • Monitors performance and provides feedback. Works with Leadership team regarding employee issues including performance write-ups, terminations, and other interpersonal issues.         
  • Coordination of daily activities within the Scheduling department.
  • Works with Director to implement new projects and processes.
  • Evaluates current work flow and makes improvements.
  • Conducts yearly performance evaluations of assigned staff with Associate Director as well as engaging in ongoing coaching, including corrective action as needed.
  • Collaborate with HR on the hiring process responsible for screening applicants, interviewing and selection of staff, arranging their daily training/mentoring/support.
  • Arrange and participates in the ongoing development of employees.
  • Provides assistance in managing escalated issues as needed within the Clinic, maintaining a positive customer service approach at all times.
  • Develops weekly schedule for assigned staff and develops plan for low staffing issues as needed.
  • Resolves patient complaints, and refers unresolved complaints to appropriate Director and refers complaints requiring investigation to the Director of Patient Access.
  • Works with Director regarding any changes or decisions involving staffing issues and responsibilities as needed, within assigned staffing levels.
  • Ensures compliance with current Slocum policies and procedures.
  • Ensures that all training manuals and department protocols are kept current.
  • Lead departmental meetings, developing agendas and recording minutes.
  • Participates in other meetings as requested by administration.
  • Reports regularly to Director regarding operational issues.
  • Communicates daily and as needed with staff and administration.
  • Assists with budget preparations and staff planning
  • Acts as a positive role model in demonstrating excellent patient care and service standards.
  • Coordinates across departments for implementation of new projects/processes.
  • Other duties as assigned.

This position reports directly to the Director of Patient Access.  We’re seeking an individual that has the ability to manage the team from a high level, but is also able to step in and provide coverage when needed.

Requirements

All candidates must have

    • A minimum of 2 years’ experience as a Supervisor or Department Lead in a medical office, or other healthcare setting required.
    • Must possess positive, enthusiastic attitude, and excellent customer services skills.
    • Ability to work independently without constant supervision.
    • Typing and basic computer skills, including proficiency in Word and Excel, essential to completing job responsibilities.
    • Excellent communication and interpersonal skills
    • Provide ongoing leadership, innovation, and guidance on efficient and effective processes for the scheduling department in partnership with Administration.
    • Knowledge of medical terminology
    • Experience using medical records
    • NextGen experience a plus

Summary

Slocum Orthopedics is seeking a Scheduling Supervisor to oversee all day to day operations and Scheduling Department functions. This role provides leadership to the scheduling department and works collaboratively with other members of management on a great range of clinical operations and customer service related objectives.  This position is responsible for the monitoring and supervision of the Scheduling Department’s functions including staffing, training, and efficiency.  This person contributes to the development of the Scheduling Department’s policies and procedures, as well as, monitoring productivity and accuracy of patient information and scheduled appointments.
